POSITION DESCRIPTION
The primary purpose of the full time Administrative Assistant II (Advising Center) is to provide and encourage a positive, helpful and inviting environment with excellent customer service for the students, faculty, staff and guests in the Advising Center.
MAJOR RESPONSIBILITIES/DUTIES
• Provide excellent customer service to students, faculty and staff, and campus guests, including unplanned walk-ins and appointments.
• Manage the Advising Center and Testing Center budget effectively and timely. Order supplies, promotional items, process travel, purchase food items for specific events, and check requests.
• Correspond with students through phone and/or mailing projects (post cards, letters). Assist in answering main HP-Advising emails and voicemails. Respond to messages via SignalVine (texting).
• Provide advising center with general administrative and clerical support, including: making appointments for Advising Center admissions advisors; checking students in and out of Starfish; assisting students with enrollment into classes; answering multiple phone lines in the Advising Center; scheduling placement tests for students.
• Scan and upload academic plan (MAP) for all Hopkinsville Community College students into OnBase and document in PeopleSoft. Maintain database on faculty/departments as they turn in MAPs each semester.
• Other duties as assigned by Director of Academic Advising and Assessment.
MINIMUM REQUIREMENTS
• Associate degree and one year related work experience, or equivalent.
• Excellent interpersonal and customer service skills.
• Excellent organizational and detail oriented skills.
• Ability to maintain department budget effectively.
• Excellent computer skills.
KY law requires state and national pre-employment background checks as a condition of employment.
